To support our growth and become a leader in the European consumer billing market we are looking for a Payments Support Administrator to join our Customer Support team.
About the role:
As a Payments Support Administrator, you’ll be part of a small but ambitious team dedicated to helping users of our platform and their invoice recipients. We’re not just about solving issues, we’re redefining what great support can be.
The role is a mix of administrative tasks and customer support, where you’ll handle everything from managing client funds and reconciling invoices to monitoring transactions and ensuring compliance. You will work daily in Zendesk to manage customer inquiries, CM1 to monitor and analyze transaction flows, and Notion for documentation and internal knowledge sharing.
At the same time, you’ll deliver top-notch support across multiple channels such as email, chat, and phone, helping customers navigate payments smoothly. Some cases are quick fixes, while others require teamwork and problem-solving with different departments or external partners.
Primary responsibilities:
- Ensure smooth payment operations by managing transactions, reconciling accounts, and maintaining compliance with financial regulations.
- Provide high-quality customer support, simplifying complex payment-related topics and ensuring a seamless experience.
- Identify opportunities to improve workflows and proactively drive initiatives to enhance efficiency.
- Collaborate closely with cross-functional teams, including compliance, product, and finance to resolve complex payments and product related issues.
- Keep accurate records and documentation related to payments and support cases to ensure transparency and compliance.
- Stay updated on industry trends, regulations, and best practices to continuously refine how we handle payments and support.
What we are looking for:
You are structured and detail oriented, making sure tasks get done efficiently and accurately. You naturally notice when something seems off and take the initiative to investigate or escalate it to the right person. Strong communication is one of your key strengths, and you adapt your tone and message based on the situation, ensuring clarity and professionalism in every interaction. You are comfortable in a fast changing environment and see change as an opportunity to learn and improve. Collaboration comes naturally to you, and you thrive in a team where ideas are shared and everyone helps each other move forward.
What will help you succeed:
- At least one year of experience in administrative work, such as customer support, payment operations, or similar roles involving structured tasks and documentation.
- Understanding of payment flows and financial transactions is a plus.
- Ability to quickly learn and navigate different administrative systems, including Zendesk, CM1 and Notion.
- Fluency in Swedish and English, both written and spoken, is required. Fluency in German is a plus.
